Liyobot is built for teams. You can invite colleagues to your organisation so they can read conversations, follow up leads or help manage your chatbots. Each person gets a role that decides what they can see and change, so you stay in control of settings and billing.
Roles#
There are two roles. Every member of your organisation has exactly one of them.
- Admin can do everything: create and edit chatbots, manage knowledge, invite and manage the team, and handle billing and organisation settings.
- Viewer can look but not change. Viewers can see chatbots, read conversations and transcripts, and view leads.
Custom roles aren’t available. To see the full list of permissions at any time, click Roles & permissions on the Team page.

Menu items a person can’t use are hidden. For example, Viewers don’t see Billing, and they can read conversations in Leads but can’t change a lead’s status or tags, or export to Excel.
Invite a teammate#
Click Invite member
On the Team page, click Invite member. You need the Admin role to do this.
Enter their email and choose a role
Type the person’s email address and pick a Role. New invites default to Viewer, which is the safest choice. You can change it later.
Send the invite
Click Send invite. You’ll see “Invitation emailed to …” and the person appears in the members table with the status invited.
Accepting an invite#
The invited person receives an email with a link. It opens a page that says Join on Liyobot and shows which organisation and role they’ve been invited to.
- New to Liyobot: enter Your name and Set a password, then click Accept & join.
- Already has a Liyobot login: click Sign in to accept, sign in, then accept. The new workspace is added to their existing account.
Seats#
The Team page shows four numbers: Members, Active, Pending and Seats (used out of your limit). Every organisation has 5 seats by default, on every plan.
- Pending invites count toward your seats, even before they’re accepted.
- When you’re full, new invites are blocked with a “Seat limit reached” message.
- Need more seats? Email [email protected]. Enterprise plans have a custom number of seats.
Change a role or remove someone#
In the members table, use the role dropdown next to a person to switch them between Admin and Viewer. Each member shows a status of active, invited or removed.
To take away someone’s access, click Remove. They lose access to this organisation straight away. You can’t change your own role or remove yourself, so another Admin has to do that for you.
One login, several organisations#
A person can belong to several organisations with a single Liyobot login. This is handy for agencies or anyone who looks after more than one business. Each organisation has its own chatbots, team, plan and billing, and your role can be different in each one.
