Knowledge base

The sources your bot learns from, their statuses, storage, and everyday management.

The knowledge base is everything your chatbot knows. Each website, file or piece of text you add is a source, and the bot answers visitors using only what’s in your sources. This page covers adding sources and managing them day to day.

The knowledge page at a glance#

The page is titled Knowledge base, with the subtitle “Content the bot answers from”. Four cards at the top summarise its health:

A brand-new chatbot shows “This chatbot doesn’t know anything yet” with an Add your first source button.

Add a source#

  1. Click + Add source

    The Add a source panel opens with four tabs.

  2. Choose a type

    Website scans your site and lets you pick pages. Bulk links adds a list of page links you already have. Upload file takes PDF, Word (.docx), .txt and .md files, several at once. Text lets you paste content such as a refund policy.

  3. Add it

    Text is ready immediately. Files and websites are read and indexed, and progress shows in the sources table.

The sources table#

All your sources are listed in one table, with these tools to find what you need:

  • Type tabs: all, website, file or text.
  • Search: the Search sources box.
  • Status filter: All, Ready, Indexing, Failed or Paused.
  • Sort: Newest, Chunks or Name A–Z.
  • Rows per page: 6, 8 or 12.

Columns are SOURCE, TYPE, CHUNKS, PAGES, STATUS, AUTO-REFRESH and ACTIONS. While something is indexing, the table updates itself every few seconds, so there’s no need to reload the page.

Source statuses#

StatusMeaning
ReadyIndexed and used in answers. Websites also show when they were last refreshed, e.g. “last refreshed 2 days ago”.
IndexingBeing read right now. Websites show progress such as “Scraping 12/40 pages…”.
FailedCouldn’t be read. Check the file or pages, then re-index or retry.
PausedStill stored, but the bot doesn’t use it in answers until you resume it.

Row actions, pausing and bulk actions#

Each row has quick actions on the right:

Pause is useful for content that’s temporarily wrong, like a seasonal offer that’s ended. A paused source stays stored but the bot stops using it in answers. Choose Resume to use it again.

Delete asks you to confirm: “Delete this source? The source and its indexed chunks will be removed. This can’t be undone.”

To act on several sources at once, tick their rows. A bar shows N selected with Refresh now, Pause / resume, Re-embed, Delete and Clear.

Tip
Pausing is safer than deleting when you’re not sure. You can bring a paused source back with one click; a deleted one has to be added again.

Storage limits and permissions#

Uploaded files count toward a storage allowance for each chatbot. This is a hard limit:

When it’s full, new uploads are refused with “This chatbot’s storage is full”. Delete a file you no longer need, or upgrade your plan. Website pages have their own allowance, explained in Add your website.

Who can manage knowledge
Adding, refreshing, pausing and deleting sources needs the Upload & manage the knowledge base permission, which Admins have. See Team and roles.
