Files and text

Upload PDF, Word and text files, or paste text such as policies and FAQs.

Not everything your customers ask about lives on your website. Price lists, menus, brochures, policies and internal FAQs often sit in documents. Upload them as files, or paste the text directly, and your chatbot can answer from them too.

Upload a file#

  1. Open the Upload file tab

    Click + Add source and choose Upload file.

  2. Choose or drop your files

    Click anywhere in the dashed box to pick files, or drag them from your computer and drop them anywhere on the box. You can add several files at once; they upload one after another.

  3. Check each file’s status

    Under the box, each file shows Uploading & processing…, then Added, or the reason it couldn’t be added, such as an unsupported type, a file over 20 MB, a scanned PDF or full storage. Liyobot reads each file and splits it into searchable passages.

  4. Wait for Ready

    The file appears in the sources table as Indexing, then Ready once the bot can use it.

Other file types are rejected with “Only PDF, Word (.docx), and text (.txt/.md) files are supported”. If you have a spreadsheet or slide deck, save or copy the important parts into one of these formats first.

Scanned PDFs#

Liyobot needs to read the text inside a PDF. A scanned or image-only PDF, such as a photo of a printed page, has no readable text, so it fails with “No readable text found…”.

Check your PDF first
Open the PDF and try to select a sentence with your mouse. If you can highlight the words, Liyobot can read it. If you can’t, export the document again from its original program, or paste the important content into a text snippet instead.

Paste text snippets#

The Text tab is the fastest way to teach your bot something specific. Give it a Title, such as “Refund policy”, choose a Category and paste your Content, then click Add text. Text is ready to use immediately, and long text is split into pieces automatically.

Categories are General, Policies, Product and Pricing. They help you keep your snippets organised.

Text snippets are ideal for:

  • Answers to questions that come up often but aren’t on your website.
  • Policies such as refunds, cancellations, deposits and delivery.
  • Up-to-date prices and opening hours.
  • Quick fixes when you spot a gap in the bot’s answers.

Download originals and keep content current#

Liyobot keeps your original file, so you can always get it back. Use Download in the source’s row actions. To change a file’s content, delete the old source and upload the new version, so the bot doesn’t find outdated information. If answers from a source seem out of date, use Re-index to process it again. Learn more in Knowledge base.

Tips for content that answers well#

  • Use questions as headings. “How long does delivery take?” followed by a clear answer is easy for the bot to match.
  • Be specific. Write “Refunds within 14 days with a receipt”, not “Refunds may be available”.
  • One topic per snippet. Separate snippets for refunds, delivery and pricing are easier to manage and update.
  • Put facts in words. Prices or tables that only exist as pictures can’t be read.
  • Remove old versions. If two sources disagree, the bot may quote either one.
